Vestry minutes – 01/12/2016

Scripture & Study:

Katheryn led the vestry in a discussion of the Wedding at Cana found in John 2:10.

Agenda:Minutes of the December 15, 2015 meeting were approved.
The agenda for the January 12th meeting was approved.

Reports/Old Business:

The vestry discussed recent news stories regarding former interim rector Bry Dennison and the reaction to those stories. Discussion was also held on the upcoming meeting with the congregation January 18th.

Treasurer Report:           

Mark Stackable was not available and will not be at the annual meeting. A representative from the finance committee will be asked to attend the annual meeting.

Associate Rector Report:            

Katheryn King submitted an annual report in writing.

Parish Administrator Report:            

A designated gift of $1,000 has been received from Northern Fire and Safety to install a wireless smoke detector fire alarm system at Jubilee House. The system includes a master unit and sensors on all three levels of the house. Vestry members asked the parish administrator to seek more information on the system and its compliance with fire marshal requirements.

A letter has been received from Music and Worship Coordinator Katherine Will expressing extreme disappointment in the vestry’s decision to reduce her position by 13 percent for 2016 and asking that the decision be reconsidered.

Senior Warden Report:            

Donna reported that the Master Planning Committee has begun work on the parish profile. A survey has been posted on the church website. Additional avenues of distribution include the Gracevine mailing list and paper copies mailed to homebound parishioners and others without computer access.

After weighing pro’s and con’s, it is recommended that the church subscribe to a cloud-based server as a less expensive alternative to purchase of a new server and desktop. The cost of a new server and desktop was approximately $10,000. Motion by Nancy Flowers, seconded by Mike Cotter to approve up to $5,500 for installation of a new cloud-based computer network as outlined in Syscom bid #18531. The annual cost for this subscription-based system will be added to Budget line 7540 – Computer Support. Motion approved.

Motion by Donna Olendorf, seconded by John Strickler, to approve Mary Merrill, Mike Cotter and Ken Kelly as tellers for the 149th Grace Church Annual Meeting to be held Sunday, January 17, 2016. Motion approved

Junior Warden Report:           

Jeff Tibbits reported from the Stewardship Committee that, as of January 8, pledges received remain short by $34,000 of reaching our initial $400,000 campaign goal. He added the John Lien approached him following a recent service, that a slight increase from all members of the congregation could close that gap.

Old Business:

Ann Hackett distributed a revised budget as well as revised profit and loss statements for 2015. Motion by John Strickler, seconded by Donna Olendorf to approve a revised balanced 2016 budget dated January 13, 2016. Motion approved.

As amended the 2016 budget reflects contributions from pledges of $370,843 and total income of $560,381. Anticipated operating income is approximately $90,000 below 2015 and total income is approximately $120,000 below the 2015 budget.

Motion by Jeff Tibbits, seconded by Eddie Grim, to ask the Stewardship Ministry to develop a fund-raising campaign to increase pledges and income to meet or exceed the original $400,000 pledge goal for 2016, and to submit the plan for vestry approval by March 15, 2016. Any additional income will be used to partially restore painful cuts made in the 2016 budget. Motion approved.

Follow-up & Follow-Through:

  • Vestry members are invited to meet with the bishop at 5:30 p.m. Monday January 18th in advance of the general meeting at 7 p.m.
  • Donna will advise Mike Middlestaedt of the Monday meeting with the bishop and will also invite newly elected vestry members to attend if they wish.
  • Eddie Grim will communicate with Kathy Will regarding her recent letter.
  • John Strickler will send a note of appreciation to The Rev. Francis Wade for presiding at Grace’s Christmas Eve services.
  • Ann Hackett will ask a representative from the Finance Committee to be present at the annual meeting and to respond to questions regarding the church’s financial position.

Katheryn King led the vestry in a prayer for the unity of the church followed by dismissal at 9:05 p.m.
